
By placing a booking with Worldwide Interpreting and Translation Pty Ltd, the client agrees to abide by the company’s policies regarding fees, payment terms, and cancellations. These conditions are designed to ensure fairness, transparency, and the smooth delivery of interpreting and translation services.
General
Booking Procedure:
All bookings must be submitted in writing and made directly with the admin team at Worldwide Interpreting and Translation Pty Ltd. Bookings made directly with individual interpreters or translators are not valid and will not be accepted.
Payment Terms:
Clients must pay invoices within 14 days from the date of issue (unless otherwise stated). Individuals and new clients may be required to make prepayment before any service is conducted.
Responsibility for Payment:
The person or organisation making the booking is solely responsible for payment. Liability for payment cannot be transferred to a third party after the booking is confirmed. If booking on behalf of someone else, the original booking party remains responsible for the invoice.
Governing Law and Jurisdiction:
Our services are provided under the laws of New South Wales, Australia. If any concerns or disputes ever arise, these will be resolved under New South Wales law, with proceedings taking place in New South Wales courts. This applies even when we are working with clients based overseas, including in the United States of America or Canada.
Interpreting Services
Cancellation before 24 hours of the scheduled start time:
Cancellations made more than 24 hours before the scheduled start time will not incur any charges.
Cancellation within 24 hours of the scheduled start time:
Cancellations made within 24 hours of the scheduled start time will incur the full session fee.
Note: Weekends are not included in the 24-hour notice period.
Cancellation of Court Assignments:
For court-related assignments, if matters are settled early or services are no longer required, the fee incurred will equal the days attended by the interpreter, plus one additional day.
Rescheduling Policy:
Rescheduling within 24 hours of the scheduled start time will incur the full session fee, as interpreters and resources are already committed and cannot be reallocated on short notice.
Early Completion Policy:
If an appointment concludes earlier than scheduled, the full agreed fee remains payable. No refunds, credits, or fee adjustments will be provided for unused time.
Liability:
In the event of interpreter non-attendance due to unforeseen circumstances, Worldwide Interpreting and Translation Pty Ltd accepts no liability for any fees, charges, or cancellation costs issued by the client or a third party.
Notice of Cancellation of Booking:
Cancellation of assignments must be submitted in writing directly to the office of Worldwide Interpreting and Translation Pty Ltd. The cancellation will only be considered effective upon confirmation from the Worldwide Interpreting and Translation Pty Ltd team.
Translation Services
Cancellation and Refunds:
Once a translator has commenced work on a project, cancellations or scope reductions cannot be accepted, and the full agreed fee remains payable. If a project is cancelled before the translator begins, a partial refund or credit may be considered at the company’s discretion.
Change Requests (NAATI Translations):
Translators will accommodate reasonable revision requests to ensure accuracy and clarity. For NAATI-certified translations, changes must comply with NAATI guidelines and cannot alter the meaning of the source text. Requests outside these parameters will not be accepted and do not entitle the client to a refund.
Authenticity of Source Material:
Worldwide Interpreting and Translation Pty Ltd accepts documents for translation in good faith but does not guarantee or take responsibility for the authenticity, accuracy, or legality of the source material supplied by the client.
Translation Rights and Copyright in Source Material:
All translation work is undertaken on the basis that the source material provided by the client does not breach any third-party rights. The client accepts full responsibility for ensuring that their documents are free of copyright restrictions or other intellectual property infringements and agrees to indemnify Worldwide Interpreting and Translation Pty Ltd and its translators against any resulting claims.
Amendments:
Clients are entitled to one set of amendments at no additional cost, provided the request is submitted within 30 days of the original translation delivery. Any further amendments, or requests made after this period, may incur additional charges. This entitlement applies only to corrections or clarifications of the original translation and does not cover the translation of new or additional material.
Delivery Format:
All translations will be delivered in soft copy (digital format) unless otherwise agreed in writing. If hard copies are required, this must be specified at the time of booking. Additional fees for printing, postage, and handling will apply.
Interpreting Equipment Rental
Delivery and Collection of Equipment (With On-Site Technician):
Where a technician is engaged for the event, the technician will deliver the equipment to the venue, set it up, and remove it at the conclusion of the event, unless otherwise agreed in writing.
Delivery and Collection of Equipment (Without On-Site Technician):
Where no technician is engaged for the event, equipment will be shipped to your location at least one (1) day prior to the event and will be collected one (1) day after the event. Clients are responsible for ensuring that the equipment is available for collection at the agreed time.
Client Responsibility for Equipment:
When equipment is shipped or delivered without a technician on site, the client assumes full responsibility for the safe storage, handling, and proper use of the equipment during the rental period. Any loss, theft, or damage occurring while the equipment is in the client’s care will be charged in accordance with the replacement and damage policies outlined in these terms.
Lost or Damaged Receivers and Transmitters:
Any lost or damaged receivers or transmitters will be charged at $200 + GST per unit.
Lost or Damaged Equipment (Other):
All other interpreting equipment that is lost or damaged will be charged at its full replacement cost, equal to the recommended retail price (RRP).
Payment Policy:
Full payment is due seven (7) days prior to the event. Please note that payments are non-refundable.
Note: Equipment is not secured until full payment has been received.
Cancellation Policy:
Cancellations made with more than seven (7) days’ notice before the event will not incur a cancellation fee. Cancellations made within seven (7) days of the event will be charged 100% of the service fee.
Note: Weekends are not included in the seven (7) day notice period.
Liability:
Worldwide Interpreting and Translation Pty Ltd accepts no liability for fees, charges, or losses incurred by the client or any third party due to equipment failure, shipping delays, or unforeseen circumstances outside our control.
